Position Overview:
We are seeking a highly organized and detail-oriented HR specialist and Office Manager to oversee the HR functions and assist with office administration within our small but dynamic team. The role combines traditional HR responsibilities with office management tasks, focusing on ensuring smooth day-to-day operations, maintaining compliance, and supporting the organizational growth of our company.
The ideal candidate will have at least 5 years of HR experience, excellent English communication skills, and the ability to manage documentation, leave tracking, and employee relations effectively.
Key Responsibilities:
1. Human Resources Management:
- Oversee and manage the entire employee lifecycle, including recruitment, onboarding, performance evaluations, and offboarding.
- Maintain accurate employee records, including contracts, leave balances, and attendance.
- Develop and update job descriptions and organizational charts to reflect company needs.
- Ensure compliance with labor laws and company policies regarding holidays, work hours, and employee benefits.
- Serve as the point of contact for employee concerns and provide guidance on HR-related matters.
- Promote clear communication between management and employees.
2. Office Administration:
- Supervise and provide guidance to the administrative team to ensure the efficient management and control of office documentation processes, including accurate filing, systematic archiving, and adherence to company policies for document management and compliance.
- Organize and monitor office operations, including supplies, maintenance, and vendor relations.
- Serve as the main contact for office-related issues and manage day-to-day administrative tasks to ensure a productive work environment.
3. Time and Attendance Management:
- Track employee attendance, working hours, and leave requests.
- Approve and process leave applications while ensuring proper records are maintained.
- Monitor compliance with working hour policies and address any discrepancies.
4. Policy Development and Implementation:
- Develop and enforce company policies, including HR and administrative procedures, ensuring they align with company goals and legal requirements.
- Regularly review and update employee handbooks and other documentation to reflect changes in regulations or company processes.
5. Reporting and Documentation:
- Prepare HR reports and analytics for management, such as leave trends, attendance reports, and employee satisfaction surveys.
- Maintain confidentiality of sensitive information and ensure proper documentation of all HR-related processes.
6. Recruitment and Talent Development:
- Support recruitment efforts, including posting job vacancies, screening resumes, and conducting initial interviews.
- Identify training needs and coordinate employee development programs.
