Job Summary:
Under the general guidance and supervision of the Contracts Manager, and within the framework of established company policies and procedures, the Contracts Administrator (Subcontracts – MEP) supports the Contracts Manager in all aspects of subcontract administration. This includes drafting, preparing, reviewing, and issuing various MEP-related Subcontract Agreements, as well as Consultancy, Service, and Supply contracts.
Key Responsibilities:
Commercial & Contractual Support
Provide commercial, financial, and contractual support specifically for MEP-related subcontracts within construction projects.
Analyze Requests for Proposal (RFPs) related to MEP works and participate in strategy and pre-award meetings.
Assist in the preparation, issuance, and approval of MEP Subcontract Agreements, ensuring alignment with project requirements and company standards.
Undertake contract and commercial functions related to MEP subcontracting, including scope definition, pricing, and risk assessment.
Subcontract Administration
Manage the full lifecycle of MEP subcontracts, including registration, tracking, and compliance monitoring.
Administer and verify Advance Payment Guarantees, Performance Bonds, Retention Bonds, and insurance certificates submitted by MEP subcontractors.
Ensure the authenticity and accuracy of submitted cheques and bank guarantees in accordance with contract templates and company policies.
Documentation & Records Management
Maintain accurate and systematic records of all MEP subcontract agreements and related correspondence.
Prepare and maintain contract documentation for review and approval by the Contracts Manager.
Gather and compile proposal data, including project scope, deliverables, timelines, and implementation strategies.
Proposal & Process Development
Develop and refine proposal documents, ensuring clarity, consistency, and compliance with company standards.
Coordinate with internal stakeholders to obtain necessary approvals and align contract terms with project objectives.
Continuously improve contract and proposal processes to enhance efficiency and quality.
Liaison & Coordination
Act as a liaison between internal departments (procurement, legal, engineering) and external MEP subcontractors during contract negotiation and execution.
Support the resolution of contractual disputes and assist in negotiating variation claims.
Maintain variation registers and ensure accurate documentation of changes.
