1. Monthly Financial Close
- Lead the full monthly close cycle, ensuring all journals, accruals, prepayments, and adjustments are posted accurately and on schedule.
- Prepare and review the monthly Trial Balance, Profit & Loss Statement, and Balance Sheet,
- confirming completeness and accuracy before submission to management.
- Produce a concise monthly management accounts pack — including variance commentary against budget — and submit it to the Group CFO / CEO within five working days of month-end.
- Maintain and update the month-end close checklist, ensuring every task is signed off and evidenced before the books are locked.
- Coordinate with auditors during the annual statutory audit, providing all required schedules, reconciliations, and supporting documents promptly.
2. Cash & Bank Management
- Oversee daily cash flow across all Group entities and projects, maintaining a clear and current picture of available funds at all times.
- Prepare and circulate daily and weekly cash and bank position reports to senior management.
- Perform timely bank reconciliations for all bank accounts — completed no later than the third
- working day of each month — and resolve any discrepancies immediately.
- Manage petty cash funds across all locations, ensuring proper custodianship, documentation, and replenishment in line with Group policy.
- Liaise with banking institutions for day-to-day transactions, fund transfers, letters of credit, and any required banking facilities.
- Prepare a rolling short-term cash flow forecast to give management advance visibility of upcoming payment obligations and funding requirements.
3. Accounts Payable & Procurement Finance
- Review and process supplier invoices and contractor payment applications, verifying they are supported by approved purchase orders, delivery documentation, and authorisations.
- Maintain an up-to-date creditor aging schedule and ensure payments are released strictly in accordance with contract terms and the approved payment schedule.
- Track and report project costs for the Hotel construction project against the approved budget, flagging any overruns or risks to management without delay.
- Manage construction contract retentions — recording, tracking, and releasing them only upon proper completion certification and management approval.
4. Accounting System (Xero)
- Operate and maintain Xero Accounting System as the Group's central accounting platform, ensuring all transactions are posted accurately and without backlog.
- Follow and enforce Xero-specific SOPs issued by Group Management, training team members and maintaining data integrity across all entities.
- Coordinate with management on any system updates, integrations, or configuration changes as the Xero environment evolves.
5. General Accounting & Compliance
- Maintain the fixed asset register, ensuring capital expenditures are correctly classified and depreciation is applied accurately.
- Review and verify the monthly payroll prepared by HR before payment is executed, confirming accuracy of salaries, allowances, deductions, and leave balances.
- Ensure statutory and tax compliance — including timely filing of all returns — in coordination with local legal and financial advisors.
- Maintain a well-organised documentation and filing system for all financial records, ensuring audit-readiness at all times.
- Manage staff expense claims and salary advances, ensuring all are properly authorised, documented, and recovered in line with Group policy.
- Provide ad-hoc financial analysis and reports as requested by management.
