Role Summary:
The Collection Officer is responsible for following up with clients regarding outstanding payments through clear and professional verbal and written communication, monitoring accounts receivable balances, maintaining accurate collection records, and supporting the Finance Department in improving cash collection and receivables control.
Key Responsibilities:
- Monitor accounts receivable ageing reports to identify overdue invoices, pending payments, and high-risk accounts.
- Conduct professional follow-up with clients by phone and email regarding upcoming payments, overdue balances, and payment commitments.
- Verify invoice delivery, payment terms, and supporting documents to help prevent billing or collection delays.
- Prepare, reconcile, and send formal Statements of Account (SOAs) to clients on a regular basis.
- Investigate and resolve payment discrepancies or disputes in coordination with Finance, Sales, Operations, and other relevant departments.
- Reconcile collection records and payment data between Awery, Rasheed, and other relevant systems.
- Process client receipts, coordinate payment allocation, and ensure client account statuses are updated accurately.
- Manage collections email correspondence and maintain proper records of client communication, follow-ups, and payment updates.
- Assist the Finance team with overdue account reports, collection updates, and monthly cash flow forecasting.
- Escalate critical delinquent accounts to the Finance Manager or senior management in line with company procedures.
